Dear families,

 Aspen View Public Schools has always viewed travel, both nationally and internationally, as an exciting learning opportunity for students. We know your child was disappointed that their trip was cancelled due to the global COVID‐19 pandemic. We recognize and appreciate everyone’s efforts in making these trips a rewarding and rich learning experience, including through support of school‐based fundraising efforts.

The tour companies contracted by Aspen View Public Schools have started to issue refunds for the cancelled trips. The amount of money refunded may include a portion that was generated through schoolbased fundraising activities. According to the AVPS Administrative Procedure 520, “No person involved in a fundraising activity shall benefit financially from that activity.” Therefore, the school will be invoicing parents to recoup the portion of the tour company refund that was generated through fundraising.

The amount invoiced to parents will be the amount of fundraising attributed to each student, less the cancellation insurance premium and nonrefundable fees. This ensures that no parent is out of pocket for any portion of the canceled trip. This money will not need to be paid to the school until parents receive their refund from the tour company.

Schoolbased fundraising was generated with the purpose of supporting a school field trip; therefore, the fundraised dollars will be returned to the school to support future field trips at the school level. The fundraising money will be deposited to the school’s travel account under the traveler’s name. This money may be used in the following manner:

  1. expenses for the traveler’s future trips,
  2. expenses for the traveler’s school based extracurricular activities,
  3. current unpaid extracurricular fees,
  4. reallocate remaining balance to another traveler’s family member or a student of their choice, or
  5. a project to benefit the student body,

If a parent group, in collaboration with school administration, wishes to propose an alternative use for the fundraised dollars, a proposal would need to be submitted by the school principal no later than December 31, 2020 and the funds will need to be used by June 30, 2022. Any unallocated or unused funds by June 30, 2022 will be transferred to the school generated funds school field trip account.
